Last to Leave Sometimes it may be difficult to tell if you are the last person to leave, but if you are leaving after 5PM and the place seems a bit quiet, please do the following; ● look around the space to see if anyone else is still there ● Turn off any light switches within your space ● Do not let in anyone that you are not familiar with

Getting Help During business hours, for non-emergency building-related issues, email or call Community Manager. In a true emergency, please call 911 FIRST and then Community Manager

Private Suite Occupancy It's imperative that Minds Members assigned to a private suite register each team member to our operating system, Nexudus. At no point in time is it allowed to have more than the registered amount of people in the private suite. Non-member visitors are welcomed to purchase a day pass and work in the designated areas pertaining to a day pass; such as flex seat areas, and lounge area. If you have a visitor be sure to schedule an available meeting room or use the designated areas for an impromptu meeting, such as the lounge area, back yard, and/or kitchen.

Security Building Access The door to the outside of the building is open and unlocked every day from 7AM-9PM (hours may vary) , while the doors of Minds co/work is open 9am-5pm. If a member wants to head in early or late night, you must access the space via the back door of Minds that can be found in our backyard space with your assigned fob.

Propped doors Please take your fob with you if you exit the coworking space. Propped doors will always be closed. If you see a door propped open, please close it.

Visitors Part of doing business is having other people come in and work with you. Visitors are welcome at Minds co/work, but they must be registered at the front desk or through the Nexudus Portal and accompanied by a member at all times.

Non-members should not be left alone unless you have permission from, Community Manager, and the community has been informed. If you are meeting with a guest, there is no limit to the amount of time they are welcome to stay. However, guests should not stay to work independently. Any guest who wants to try out the cowork for a day should contact the Community Manager to make arrangements.

Private Suites First set of keys are on us. If in the off chance a member loses their keys to their office, they must cover the costs of a lock change.

Finding Your Way Around

Flexible Membership If you choose this membership level, you will not have a dedicated desk. You have the option to work from any of the designated “flexible” workspace area. These areas include ● Flex Seats ● Lounge Area ● Kitchen ● Outdoor Area If you have questions about where these areas are please contact Community Manager by email.

Dedicated Desk & Office Membership If you choose this membership level, you’ll have a dedicated desk. You have the option to get a nameplate that designates your space as your own, contact Community Manager by email. Please keep your space neat, your chair pushed in, and your floor clear of debris. Be sure to clean up food or any other nasty, messy stuff right away. Visitors tour the space regularly, and every member’s space impacts our community.

The Minds Lounge The Minds Lounge is the social hub of our community. It’s home to lunch and learns, a freeform social hour that gives members time to mingle. It’s also a great place to have meetings over coffee. Just keep in mind that anything left on the Minds Lounge counters will be considered fair game for community use.

Phone Booths You’re welcome to conduct calls from any area of the cowork at any time but please keep your voice down so as not to disrupt other members working. If you need to take a private call please use the Phone Booths. It’s also the best place for particularly passionate (aka loud) conversations.

Conference Room(s) The conference room can be reserved using your account portal. If your meeting spills out of the conference room, it is considered an event and must be approved by the Community Manager by email

Restrooms Minds co/work does not exclude, separate, deny benefits, or otherwise treat differently on the basis of sex, gender, gender identity or gender expression. This means we are full heartedly accepting of all our members. Under no circumstances will any member of the Minds community be required to provide proof of medical procedure or government identification as proof of gender in order to access our bathroom facilities.

Termination Minds co/work reserves the right to terminate any membership at any time without notice and without a refund.

Failure to follow any of our guidelines in this document can result in termination of membership. Dog Policy We welcome your furry pals to join us at Minds co/work. The following are guidelines for having them in the space. If any of the following guidelines are broken they will NOT be allowed to return to the space. ● No barking ● Must be kept by the owner ● Must play well with other dogs ● Must be taken outside to handle their “business” and not our outdoor area in the back of our space ● No jumping on people ● If anything is damaged at any time during their stay, the member will be held 100% financially accountable ● No pets on the furniture ● Must be vaccinated ● Minds assumes no responsibility for any pet actions

Good veCino Policy At Minds co/work, members work within close proximity to one another in offices and workstations. To make certain we maintain an enjoyable and productive work environment, members must use the space in ways that do not disturb or annoy their neighbors. It's vital that we are mindful of the volume of our voices, music, or equipment that can disrupt the workplace and harm the productive vibes. In a nutshell, it is essential for everyone to be good veCinos who are considerate of those around them.

Because of the relatively open environment, Minds co/work members may inadvertently be exposed to information being used by other members in the course of their work. Such confidential information may be unintentionally made public via computer screens, during a call, or a meeting. Members should assume that any and all such information to which they are exposed to is confidential, and should not release this information to any other person.

Since confidential and proprietary information is crucial to the operation of Minds co/work, and because Minds co/work in some instances has the obligation to protect such information, you agree, as a Minds Member, that you will not use, publish or disclose such information during or subsequent to your work at Minds co/work, and you will preserve the restricted nature of this information except to the extent that it becomes publicly available, or is otherwise lawfully obtained outside the scope of this agreement from third parties.

Workstation Guidelines Members are encouraged to personalize their dedicated desks and private offices with their own personal flare. Such items, however, must abide to safety standards. Decorations must never be offensive or make other occupants feel harassed, uncomfortable, threatened, or insulted. Without prior approval from Minds co/work, members may not permanently alter, damage office walls, ceilings, floors, doors, fixtures, or furnishings.

Personal items may be hung on cubicle panels if they are attached by approved hangers and do not extend above the top of said dedicated desk. Personal devices listed below may not be brought into or used within Minds co/work space.

● Candles ● Air conditioners ● Grills ● hot plates ● stoves, or ovens ● Hair dryers ● Heaters ● Heating blankets or pads ● Irons ● Microwave ovens

And any other devices that may present a safety hazard.

Minds Members are permitted to have their own printers and copiers, although a shared printer/copier is available. Members may have plants as long as the plants are located inside of their space, protected with overflow containers that prevent water from leaking onto furnishings, and maintained in a healthy, bug- and disease-free condition. Plants must not be placed where they will obstruct walkways. Members are responsible for the care of their own plants, and are not allowed to have plants that may cause allergic reactions. If at any point anything within the office is damaged, the member will be held financially responsible.

Mail and Telephone Service Minds co/work receives all mail sent to the building address (122 NW 25th Street, Miami, FL 33127) and distributes it daily to Minds Members mailbox. To ensure that your mail is routed correctly and delivered as quickly as possible, include your company and in the mailing address that you provide to potential senders, as follows:

The Minds co/work Community Manager can provide VOIP or landline telephone system setup if you have need for these services. For Minds Members interested in having a Voip OR landline telephone, additional charges may apply.

Cleaning Service A company named Roseborough Cleaning cleans Minds co/work space under a contract. They provide services outside of normal working hours. Three times a week they remove trash, vacuum common areas, and clean the kitchen floors, tabletops, and countertops. They also vacuum the floors in offices and workstations and dust common areas. Members should direct any questions or comments about these services to the Minds co/work Community Manager.

All Minds members must do their part to make sure that their workstations, offices, hallways, and rooms that they use are kept clean and tidy. This includes:

  • Placing any and all trash and recyclables into the appropriate provided bins
  • Be aware that trash and recycling containers do not obstruct walkways
  • Cleaning up all spills immediately
  • Avoid consuming foods that brings with them strong odors

If in the case that something may require additional or special janitorial attention, do not hesitate to contact the Community Manager. To help provide member safety, nothing other than authorized furnishings should be placed, piled, or stored on the floors of workstations or other spaces. If anything within your space is missing Minds co/work is not held responsible.

Computer Networking & Wireless Access Minds co/work maintains computer servers and networks that provide access to the Internet and a shared office printer. Members can link their personal computers to these resources and obtain related technical support by (1) specifying all desired networking services in their sublease agreement with Minds co/work, and (2) working with Minds co/work Community Manager coordinator to implement and maintain these services. For assistance in setting up or maintaining these services, contact the Community Manager

Wireless Access One of the main reasons that people join Minds co/work is for easy, fast, and reliable wireless access so they can get down to business. Our extremely fast WIFI is free to members. To access the network, once the account is set the password and access will be provided by Community Manager

If you have issues with the wireless network or have questions about wireless security, please contact the Community Manager.

Reception Area Just inside the door Minds co/work is a reception area containing upholstered chairs and a coffee table. This area is available to Minds co/work Members for brief conversations with incoming and outgoing guests.

Kitchen Guidelines The lunch room/kitchen contains the following resources:

  • Tables and chairs
  • Built-in cabinets
  • Sink
  • Dishwasher
  • Refrigerator
  • Microwave
  • Coffee maker and hot water dispenser •Trash and recycling bins Kitchen

Guidelines

  1. Use dishwasher for community dishes please (handwashing your personal dishes is acceptable). If you do hand wash something – please put it away/take home.
  2. If the dishwasher is clean/full, please remind the Community Manager. The Community Manager does this for the space. Please don’t put your dishes in or near the sink.
  3. Cleaning of the fridge and microwave is not included in our nightly cleaning – so if you spill, clean it up. There is a microwave food cover to use when heating food if appropriate.
  4. Check and take home or throw out your own food weekly/monthly.
  5. Keep your items neatly organized and labeled in the cupboard/fridge and use a reasonable amount of space.
  6. If it’s not yours, don’t take it. Items to be shared are left on the kitchen table or marked as shared in the freezer/fridge.
  7. The fridge will get emptied out, no exceptions, before the end of every Friday.

Copier Room This room houses a Xerox WorkCentre 6515/DN printer and copier, which is available for use by Minds co/work Members. Note that in order to use the printer functions, members must be configured onto Ezeep. Please see the Community Director for further instructions. Several three-hole punches and a paper shredder are also available here for use by Members of the space. Please see the Minds co/work Community Manager for accommodations related to supply requests.

Conference Rooms I & II Conference Room I: Bright Box This is the larger of the two conference rooms located within Minds co/work. It contains seating for 12, a whiteboard wall, a speaker phone, and a wall-mounted TV, projection screen, and projector. The screen can be used for presentations using Minds co/work guest WiFi connection. This room is available to Minds co/work and its Members, but must be reserved in advance through the Meeting Room Calendars page here.

Conference Room II: Bright Box II This room contains seating for 6, a whiteboard, a speaker phone, and access to WiFi. Like Conference Room 1, this room is available to Minds co/work and its members, but must be reserved in advance through the Meeting Room Calendars page here. For all meetings, please be sure greet your guests at the entrance and clean up/reset the room when you have completed your meeting.

Creative Room Use of our studio and our equipment is AT RENTER’S OWN RISK. Renter hereby waives rights to seek legal redress for mishaps, accidents, and/or loss while on our premises. Renter agrees to leave the studio and adjacent grounds in the same condition as they were when Renter arrived. Renters are solely responsible for any legal infractions Renter or members of Renter’s party make during the conduct of the shoot, be they in our studio or elsewhere. This includes parking tickets, all other violation or citations, and legal action resulting from the conduct of the shoot, taken at whatever time. Renter agrees to hold harmless Minds co/work, its owner, agents, representatives, and contractors acting on its behalf for any loss, accident, or injury to Renter’s self or anyone who accompanies Renter while on our premises. Renter agrees to be solely responsible for the conduct and welfare of all persons accompanying Renter while on our premises. Renters are solely responsible for the safety and well-being of any models Renter engages. Renter understands that if the Company observes dangerous, pornographic, or negligent practices or activities are being engaged in the Company reserves the right to stop the shoot and require Renter and Renter’s party to leave immediately — HOWEVER, Minds assumes NO RESPONSIBILITY to act in such cases. Renter agrees to hold Minds co/work, its agents, representatives, and anyone acting on behalf of Company completely harmless from any action, legal or otherwise, that results from Renter’s conduct. Renters are solely responsible for verifying that all models employed during Renter’s rental period are of legal age for the activities they are to be engaged in. Company has no responsibility to determine or verify the age of participants in the renter’s activities but reserves the right to end those activities if it becomes aware that legal age violations are on-going. Renter agrees that someone a Company representative will be present in the studio at all times Renters are using it.

Podcast Guidelines ● You must be approved to have access to the photo studio and podcast studio and its equipment. ● Maximum of 4 hours studio slot reservation. You may extend on the day of the shoot if no other reservation follows. ● You will be charged for the repair or replacement of any and all items damaged, stolen or lost. ● Studio must be tidied up after you are done using it. If the space found unclean you will be charged a cleaning free of $250. ● Under no circumstances any equipment found in the studio leaves the studio premises. LOOK IT OVER BEFORE YOU TAKE IT OR USE IT. ● You are responsible for the care and safe return of all equipment available in the studio. ● You will be charged for the repair or replacement of any and all items lost, damaged or stolen.

Indemnification and Release of Liability In consideration for receiving permission to use Minds co/work, you RELEASE, WAIVE, AND DISCHARGE, and agree to INDEMNIFY AND HOLD HARMLESS Minds co/work, its officers, agents, and employees (hereinafter referred to as RELEASES) from any and all liability, claims, demands, actions, and causes of action whatsoever arising out for related to any loss, damage, or injury, including death, that may be sustained by you or your guests, or to any property belonging to you and your guests, while in or on the premises, IF SUCH LOSS IS CAUSED BY YOUR ACTION, INACTION, OR NEGLIGENCE, and regardless of whether such liability arises in tort, contract, strict liability, or otherwise, to the fullest extent allowed by law.

You voluntarily assume full responsibility for any risks of loss, property, damage, or personal injury, including death that may be sustained by you or your guests, or any loss or damage to property, owned by you or them IF CAUSED BY YOUR OWN OR YOUR GUESTS ACTIONS, INACTIONS, OR NEGLIGENCE, to the fullest extent allowed by law. Your Responsibilities Your responsibilities as a Minds co/work member include the following:

  • Knowing and adhering to the terms of your Member agreement with Minds co/work. In the event of any perceived conflict between your Member agreement and this guide, you should adhere to the Member agreement and report the conflict to the Minds co/work Community Manager for resolution.
  • Knowing and adhering to the information about safety provided in this guide.
  • Safeguarding your building fob to prevent their loss or unauthorized use.
  • Turning off any lights or other electrical devices in your workstation(s) or private suite when leaving Minds co/work.
